Seasonal receptions and shifts with no overnight desk; pitches that change nature with the season; motorhomes arriving at two in the morning and families with two cars, a kayak and a pet. The stack has to take that reality as given, not negotiate it.
Case 1 / 6
A pitch is not a room.
Inventory includes pitches with car, pitches without car, pitches with electricity, premium pitches with views, bungalows, mobile-homes and, sometimes, treehouses. The PMS has to tell them apart before the booking, not after.
Case 2 / 6
At two in the morning someone is parking up.
A 24-hour reception rarely pays for itself. The alternative is a self check-in with a barrier code, SMS instructions and a printable map. The process closes the next day with nothing handled manually.
Case 3 / 6
Long season, short team.
Three months with five people; nine months with two. The stack has to serve the large July and August team and the reduced winter team without manual reconfigurations.
Case 4 / 6
Specific regulations · it is not just SES.
Parte de viajero (Spanish guest registration form), overnight stay tax in some autonomous communities, vehicle registration in motorhome areas, activity licence renewal anticipated. The stack integrates every requirement on purpose.
Case 5 / 6
Cash comes in concentrated, expenses do not.
Reporting that shows cash flow by month and category prevents decisions taken with the wrong feeling (July with accounts in plain sight, March in panic). Clean export from PMS to ERP, and from ERP to a sheet printed the first Monday of every month.
Case 6 / 6
Restaurant, supermarket, pool, rentals.
Many campsites invoice as much in parallel services as in accommodation. The stack charges consumption to the pitch account (no plastic card) and settles cleanly at check-out. The piece that normally fails is a poorly integrated POS.
Outdoor-specialist PMS
Inventory by pitch type, seasonal calendar, POS integration and parte de viajero module. A repurposed hotel PMS will not do.
essential
Channel manager
Connected to Booking, Camping.info, Pitchup and, depending on the campsite, Airbnb for mobile-homes. Sync within minutes.
essential
Own booking engine
On the own website, with real availability and a short purchase flow. Every direct booking saves 15-18% in commission.
essential
Barrier control + self check-in
Code-based opening tied to the booking, valid within time windows. Allows operation without overnight reception; if the team lives on site, it can wait.

SES Hospedajes + Verifactu
Direct connection from the PMS. Generates and sends the partes at end of day and meets Verifactu at source.
essential
POS integrated with pitch account
Restaurant, supermarket and service spend charged to the pitch, settled at check-out. With only one or two side services, a simple standalone POS holds up.

Communications automation
Confirmation with instructions, barrier code on the day of check-in, check-out reminder, review request.
essential
Sophisticated RMS
For campsites under 150 pitches, a weekly manual review with good judgement performs the same at zero added cost.
optional
Own mobile app for guests
Almost nobody downloads it. WhatsApp communication and a good PDF map cover the same ground for free.
